Common Errors When Using a loudspeaker
In the business world, it seems that more time spent in meetings than doing "real work ", especially as one moves up the management chain. It is not unusual in some companies for managers to spend all day meetings.
Depending on the size of the organization on several occasions it is necessary to have team members to connect the meeting. Often, conference rooms are equipped with a Polycom speakerphone, which is a device that resembles a boomerang with three sides with son running to him. For larger rooms, the phone also includes microphones that look like a computer mouse (Small microphones palm with son running toward the main phone).
There are several advantages to using a phone High quality like that when people have to cope in the meeting. First, the microphones are much more sensitive than the built-in microphones in most office phones. Second, extra pickups provide a wide range, which is particularly useful in conference rooms with long tables, where some people are closer to the CPU that people on the ends of the table. Finally, they are generally thinner than a traditional office phone, which makes the conference table watching a little more class.
There are, however, some drawbacks Using a Polycom. Due to the sensitivity of the microphones, external noise in the room will be collected, making it difficult for the listener to hear. Air conditioning hum, or even people who speak in the next room can sometimes be picked up by microphones. In addition, any that tapping on the table, drawing paper, slide your laptop, etc., will make enough noise to drown all other sounds coming through the person on the phone. The microphones can not distinguish between someone who talks at the meeting in a single microphone, shuffling papers and someone in a other … the two sounds come through just as strongly to the listener. Finally, despite the spread of the microphones in the office, everybody in the room must be remembered there's someone on the phone, and should project when they speak. Some people are naturally quiet voice and they need to overcome that when speaking in a conference room where someone is made on a Polycom phone.
As a final note, when conducting a meeting where there are several members on a conference call with Polycom, be sure to be appreciated that these members can not see. If you are a gesture whiteboard, holding a sheet of paper, or other actions that can not be seen by phone, make sure you explain what you do. For example, if you look through a document on a projection screen and turn the page, letting people on the phone know what page you are currently located.
Workers can be effective, even if remote from the rest of the team. But technology alone does not make that person some fully-functioning team. It requires a little extra effort by the team members to include that person, and appropriate protocol when using a Polycom is a good example of how to do that.
